Sound Automations
Frequently Asked Questions

Questions we hear before every audit call.

The honest answers — pricing, timelines, what happens when an agent makes a mistake, how this differs from Zapier, and everything else most consultants dodge.

Getting Started

How to begin, who this is for, and what to expect day one.

How long does it take to set up an agent?

2–4 weeks from contract signing to live in your business. Most launches happen within 3 weeks. The first week is kickoff (we map your workflow, capture your brand voice, set up integrations). The next 1–2 weeks are build + test. Final week is a staged rollout with you watching every agent action before it goes fully autonomous.

Do I need to be technical to use these?

No. We configure everything. You only see results — money recovered, calls captured, reviews responded to. Most clients only touch their dashboard once a week to scan results. If you can read an email, you're technical enough.

Do you work with businesses outside Connecticut?

Yes, but we prioritize Fairfield County clients because we meet in person during kickoff and quarterly. If you're in CT, NY, NJ, or eastern MA we'll work with you. Beyond that, we're remote-only and selective.

Do you offer custom agents not on your list?

Yes. The 9 agents on our site are the productized starting points — most engagements add at least one custom piece. If you have a workflow that's eating your week, bring it to the audit call. We'll tell you honestly whether AI is the right tool or not.

Pricing

What it costs, what's included, how cancellations work.

How much does this cost?

Individual agents start at $1,500 setup + $150/month. Most clients invest $3,500–$10,000 in setup with $300–$700/month recurring. Bundles save 15–30% vs. à la carte — see the bundles on the Agents page.

What's the difference between bundles and à la carte?

À la carte = pay for each agent individually, get rolling onboarding. Bundles = one onboarding window, multiple agents go live together, and you save $1,500–$4,000 in setup fees. If you're buying 2 or more agents, the bundle always wins.

Can I cancel?

Yes — 30 days notice on the monthly recurring fee. Setup fees are one-time and non-refundable after week 2 (when the build is underway). We've never had to lock anyone in — if it's not working, we want you to leave so the next client gets our full focus.

Are there any hidden fees?

No. The monthly fee covers the agent running, hosting, monitoring, and tuning. Pass-through costs (Twilio SMS fees, AI inference at scale, etc.) are billed at cost with transparent line items — typically $20–$60/month per agent at modest volume. We'll quote these explicitly before signing.

How It Works

What an agent actually does day-to-day — and what happens when something goes wrong.

What happens if the agent makes a mistake?

Every customer-facing agent has a configurable approval workflow. You decide if it sends automatically or needs your sign-off. For reputation-sensitive agents (like Google Review responses), we default to approval mode for the first 30 days. Once you trust the output, you flip it to autonomous.

What integrations do you support?

QuickBooks, Stripe, Square, Twilio (SMS), Google Calendar, Calendly, Acuity, Zapier, HubSpot, Resend, Slack, plus most major SMB tools. If you use something we haven't integrated yet, we add it during your build — typically 4–8 hours of additional setup.

What kind of training and support is included after launch?

30 days of post-launch tuning is included with every setup — unlimited tweaks to tone, escalation rules, and edge cases. After that, your monthly fee covers ongoing maintenance, monitoring, and minor updates. For larger changes (new use cases, new integrations), we quote separately.

Can I see one of your agents in action?

Yes — we have 5 live working demos on this site you can try in 60 seconds each. Real AI, generating real output, no signup required. See the Agents page for the full list.

Trust & Data

Who owns the data, how we handle privacy, and what makes us different from no-code tools.

Who owns the data my agent processes?

You do, always. We don't train models on your customer data. We don't sell your data. You can export everything any time. Full details on our Data Handling Policy.

What about HIPAA, GDPR, or industry-specific compliance?

For medical/dental clients, agents are built HIPAA-aware — no PHI leaves your environment without proper safeguards (we sign a BAA when relevant). For financial advisors and legal practices, we follow industry-specific compliance frameworks. We'll discuss your specific compliance needs during the audit call so the build handles them correctly from day one.

How is this different from Zapier or Make.com?

Zapier connects existing tools using templates — great for simple “if X then Y” logic. Sound Automations are custom-coded AI agents that handle judgment-based tasks: writing personalized messages, calibrating tone over time, handling unexpected customer replies, deciding when to escalate. Templates break the moment a real-world situation doesn't fit the template. Agents adapt.

What if my customer hates the AI tone?

Every message is tunable to your brand voice — we draw from your existing emails, website copy, and a kickoff conversation to capture how you actually talk to customers. If a specific message lands wrong, you tell us once and we fine-tune. Most clients hit a sweet spot in the first 2 weeks and rarely tune again after that.

Risk & Guarantees

What we promise — and what to expect if things don't work out.

What if it doesn't work for my business?

Every engagement has a 30-day pilot review. If we can't show measurable ROI in the first 30 days (recovered calls, faster payment, reduced no-shows — whatever the agent was built to do), you don't pay the recurring monthly fee for month 2. Setup fees are non-refundable after week 2 (real work has been done), but we'll work in good faith to make it right.

What if a competitor offers this cheaper?

Most “cheaper” alternatives are Zapier templates or white-labeled SaaS dressed up as “AI.” If you find a comparable custom-built service for less, send us the quote — we'll match it or tell you honestly why theirs is better. We'd rather you save money than be sold a worse product.

Are you based in Connecticut?

Yes — Sound Automations is based in Stamford, CT. We work primarily with small businesses across Fairfield County and can meet in person for kickoff and quarterly reviews. The team behind it has 10+ years of enterprise software experience.
